Email signatures for marketers

Marketers are judged on their own signature more than most: it's a small piece of brand work that everyone sees. The temptation is to turn it into a campaign. The best marketing signatures stay restrained and make one thing easy to click. Four examples, then banners and tracking links.

Marketing manager with social icons

For a consumer brand the social profiles are part of the job, so three color icons are justified here. The accent matches the brand color.

CMO, corporate

Senior marketers don't need to prove they know social media. The logo and a clean contact band say enough; the company LinkedIn page is the one profile worth an icon.

Social media manager

Here the channels are the job, so four color icons are justified. They link to the brand's accounts, not the manager's personal ones.

Agencies sell taste, so restraint helps: a centered wordmark, one line of positioning in the title, and the website where the case studies live.

How many social icons?

Link the brand's accounts that matter for your role. A social media manager can justify four; a CMO usually needs one (the company's LinkedIn page) or none. Use the brand's accounts in a work signature, not your personal ones, unless your personal profile is part of the job. More on choosing and sizing them on the social media icons page.

Banners: when they help

  • Time-limited: a webinar, a launch, a conference booth. Remove it when the date passes.
  • Small: no wider than the signature (about 450–600 px), and a short height so it doesn't push the email off a phone screen.
  • One link, one message: the whole image links to one page.
  • Not the only place: many mail apps block images until the reader allows them. Mention the event in the email itself when it matters.
  • Not in every thread: use a shorter signature without the banner for replies.

Fairsig doesn't have a banner slot yet. If your mail app's signature editor supports images, you can add a linked banner below the pasted signature there.

UTM links and Gmail's 10,000-character limit

UTM parameters (utm_source, utm_medium, utm_campaign) are tags added to a link so your analytics can tell where a visit came from. They're useful on links to your own website. They do have a cost in a signature:

  • Length. Gmail accepts up to 10,000 characters in a signature, counting the HTML. A tag like ?utm_source=email&utm_medium=signature&utm_campaign=fall_webinar adds at least 64 characters to every link it's on (more in the HTML, where each & is written as &). Tagging all 5 links of the social media manager example above takes it from 2,708 to 3,140 characters, measured with Fairsig's own renderer. Still within the limit, but add a banner, a long disclaimer and a legal footer, and the margin goes fast.
  • Pointless on social links. A visit to LinkedIn or Instagram never reaches your own analytics, so tags there record nothing.
  • Visible text. Fairsig shows your website address as the link text, so a tagged address would be visible to readers. A short, dedicated landing path (for example yourbrand.com/hello) is cleaner, and your analytics can count its visits without any tag.
  • Trust. Long tracking strings in a personal email can look like a marketing blast. Keep them short and readable.

Brand consistency

Match the accent color to your brand color and use the same template for the whole team. A signature that differs from person to person undoes the brand work in your other channels. Copy one example's link (the “Use this signature” button) and share it with the team: everyone starts from the same template and color.

Questions

Should I add UTM parameters to my email signature links?

Only to links that go to your own website, where your analytics can read them. Tags on links to LinkedIn or Instagram tell you nothing. Keep tags short, because every character counts toward Gmail's 10,000-character signature limit and long tags make links look like tracking.

Do signature banners work?

They can, for a specific event or offer, for a limited time. A permanent banner becomes wallpaper. Keep it small (about the width of the signature), make the whole banner one link, and put the essential words in the email text too, because images may be blocked.

Can I add a banner with Fairsig?

Not yet: Fairsig's templates have a logo and a photo slot but no banner row. You can add a linked banner image under the pasted signature in your mail app's signature editor, if it supports images.
