Email signatures for dentists and dental teams

A dental practice is a local business as much as a medical one: patients want to know where you are, how to book and who they’re talking to. Three examples for a dentist, an orthodontist and a hygienist, and what to put in yours.

What to include

  • Name and credentials: DDS, DMD, or DDS, MS for specialists; RDH for hygienists.
  • Specialty or role: General & Cosmetic Dentistry, Orthodontist, Registered Dental Hygienist.
  • Practice name and address: new patients look for it.
  • The front-desk number and a booking link, rather than a personal mobile.
  • Logo or photo: the practice logo for the team, a photo for the dentist new patients will meet.

All names, practices and phone numbers are fictional.

Dentist in private practice

A private practice is also a local business: logo, address and the booking page do more for new patients than a list of credentials.

Orthodontist with online booking

New patients mostly want two things: where the practice is and how to book. The booking page is the website link, and the credentials follow the name.

Dental hygienist

Team members use the practice's front-desk number and booking page, so patients always reach someone. A text-only layout keeps it light for internal mail.

Patient privacy

Never put patient information in a signature or its template text. If your practice emails patients, add a one-line note: email is not for emergencies, and private health details should go through the patient portal or by phone. The generator has a healthcare disclaimer template you can adapt (disclaimer examples). More on healthcare signatures on the doctor email signature page.

One look for the whole practice

Choose the template, colour and logo once, then share the design with the team: each person fills in their own name and role. How to do it is on the business email signature page.

Questions

Should I write “Dr.” or “DDS”?

One of them: “Dr. Nina Patel” or “Nina Patel, DDS”. The credential after the name also tells patients which kind of doctor you are (DDS, DMD, or DDS, MS for a specialist).

Should the whole team use the same signature?

The same design, yes: same template, colour and logo, with each person's name and role. The phone number and booking link should be the practice's, so patients always reach the front desk.

Do I need a disclaimer?

A short note helps if you email patients: email isn't for emergencies, and private health details belong in the patient portal or on the phone. A disclaimer doesn't make email secure on its own.
